Position Details:

Job Description:

The US Finance and Administration Manager will be a key part of our small team, and will manage finance, administration and other operational duties for Restless Development USA, including financial management of multi-country programs and grants. 


Financial Management

-Ensure organizational compliance with US Finance regulations and Restless Development Finance policies and procedures. 

-Lead the development of financial plans, strategic budgets, operational budgets and quarterly forecasts ensuring participation of relevant staff

-Oversee the preparation of financial statements and audit files for the year end external audit and liaise with the external auditor

-Ensure that internal and external audit recommendations are implemented

-Support and ensure all staff are adhering to financial procedures and policies and ensure that all financial transactions are properly accounted for

-Identify and manage financial risks and address these as part of the team

-Produce monthly management account packs with program managers, reviewing central and program expenditure and identifying and documenting variances against budget, and present the accounts to the Leadership Team. 

-Identify areas of improvement in our financial processes and procedures. Implement these locally where permissible under our Finance Manual and share information internationally about effective practices.

-Provide technical support to staff and work with managers to strengthen financial management

-Work with other teams to ensure that donor budgets are appropriately reviewed 

Financial Accounting Functions

-Record and report transactions on a timely and accurate basis

-Oversee and carry out Finance functions including payables, receivables, depositing checks, and cash and ensure these processes are working smoothly.

-Ensure that bank reconciliation as well as debtors and creditors statements are completed monthly on a timely basis and liaising with bank and auditors as appropriate.

-Ensure filing is of a high standard.

-Lead the preparation of all financial reports, including income statements, balance sheets, reports to Trustees, tax returns and reports for the government regulatory agencies

Financial and Compliance Management of Grants

-Lead on all the financial aspects of single and multi-country programs, including budgeting, forecasting, reporting and management of financial risks.

-Prepare reports for submission to the program management committees, which includes consolidation of all hubs involved with the program.

-Follow up on finance queries received from program and management staff.   

-Liaise with other hubs for information in relation to the programs.

-Track reporting calendars and ensure compliance with financial management, reporting, and other funder requirements. 

HR and other Office Administration

-Liaise with payroll & tax service provider to review monthly and quarterly reports.

-Prepare annual payroll reporting and process premium payments for Workers Compensation and Disability Insurance plans.

-Support the US Director in annual renewal of medical and liability insurance plans.

-Support preparation for quarterly Board meetings including the annual Board retreat. 

-General office support: answer phone calls, coordinate purchase of office supplies, liaise with office hosts for occasional office needs

Other Duties

-Other duties as required

-This post may involve some international travel for support visits to other hubs where Restless Development has programs. Where this or other events require work on weekends, time off in lieu can be taken.  




-Qualified accountant

-2-4 years financial management experience

-Significant experience managing multi-donor funded programs and organizations

-Budgeting, consolidation and currency management experience

-Significant experience of reporting to US and international donors

-Excellent Excel skills

-Excellent IT, written and verbal communication skills

-Excellent organization skills and exceptional attention to detail 

-Self-starter and quick learner; willingness and ability to seek out information and solutions 

-Analytical skills and comfort with a rapidly changing environment.

-Strong team player; ability to establish strong working relationships with staff in the US and in other countries.

-Committed to Restless Development’s mission and values. 


-Experience working in an International NGO a significant advantage

-Financial Force Accounting experience preferable

-Management accounting background an advantage
