Job Description:

The Operations Manager supports the day-to-day operations of the organization. S/he serves as a strategic thought partner in the development and implementation of operational policies and procedures that promote an efficient, fair and accountable workplace. The ideal candidate is a thoughtful problem solver, an organized multi-tasker and espouses the highest standards of customer service.

Essential duties and responsibilities include but not limited to:


  • Serve as primary technician and troubleshoot IT issues related to VoIP, Apple TV, internet, and other audio visual equipment;

  • Purchase and configure desktops, laptops, iPads as well as other tech devices for new and existing employees; 

  • Research potential e-document management solutions that facilitate the creation, adoption and storage of standard forms, templates and contracts;

  • Research potential inventory tracking systems that automate our ability to track, assign, and retrieve equipment/supplies, as well as track claims for lost or damaged equipment; and 

  • Assess and/or maintain current Honeywell security camera and keycard system, and identify a better solution if applicable. 


  • Maintain a comprehensive repository of fully executed vendor contracts, as well as a corresponding calendar of contract termination/renewal dates; 

  • Review and synthesize vendor proposals for COO or CEO signature as needed;

  • Maintain a comprehensive list of UAP vendors and commonly used services, including up-to-date login credentials, contact info, payment method, etc.; and

  • Serve as a purchasing agent for UAP-wide events such as the annual staff retreat, quarterly All Staff Meetings and board meetings; place catering orders as applicable. 


  • Greet and direct students and guests from the reception desk;

  • Ensure office supplies, cleaning supplies, and office snacks are well stocked;

  • Answer phone calls, manage phone tree system and forward voicemails to relevant staff as needed;

  • Manage UAP Master calendar as well as space reservations for internal and external stakeholders; Ensure conference rooms are adequately outfitted for special events; 

  • Setup workstations and welcome package for new office staff;

  • Liaise with building supervisor and schedule third-party vendor services as needed; Serve as the primary contact person for facilities-related emergencies;

  • Ensure tidiness and general upkeep of UAP offices and storage spaces; Address trash and recycling needs; flatten and put away cardboard boxes;

  • Receive mail/deliveries and distribute as needed.

Other duties or strategic projects as assigned by supervisor.


  • Between five to seven years of relevant work experience;

  • Fluency with business applications including but not limited to MS Office, Google Drive, CRM software such as salesforce.com, e-forms/documents;

  • Demonstrated track record in business process re-design or establishing effective operational policies and procedures; 

  • Strong project management skills, with the ability to manage concurrent projects within timelines and with meticulous attention to detail; 

  • Strong critical thinking and problem solving skills, with demonstrated ability to rigorously vet potential solutions;

  • Exceptional relationship-building skills, marked by humility, respect and inquisitiveness;

  • Self-starter who works well independently and with minimal guidance, but also a team player; and

  • Strong and evident belief in the mission and core values of UAP: arts-integrated, student-centered, collaboration and data-driven.
