Job Description:

The Frankfurt Zoological Society-US (FZS-US) seeks an individual who has experience in non-profit operations, fundraising, administration and finance to serve as a part-time Operations and Finance Associate. We are looking for someone who excels at administrative tasks including data management, administration, and accounting. He/She will be knowledgeable and highly efficient at non-profit compliance and finances and will be able to assist the Executive Director in fundraising appeals, annual non-profit budgets, tax returns, and state and federal compliance forms. This is an excellent opportunity to play a role in the operations, fundraising and administration of an internationally-recognized conservation organization committed to preserving wildlands and biological diversity across the planet.

Primary roles of the position

  1. Administration, Finance and Operations
  • Plan for and organize executive trips for project directors to meet with US-based staff and donors.
  • Support the Executive Director in executing bookkeeping activities including accounts receivable, accounts payable, cash disbursements and reconciliations.
  • Support the Executive Director in the preparation of financial reports including balance sheets, income statements, cash flow, annual budgets and forecasts.
  • Manage and process tax and business filing requirements.
  • Work with finance team to prepare for annual audit and work with external accountants to complete the 990 tax return.
  • Work with Executive Director and Program Managers to manage the financial tracking and reporting for donor and government grants.
  • Monitor spending on grants against budget and ensure expenditures are correctly assigned to grants and can be reported to the donor.
  • Work with legal counsel to create and execute grant sub-contract agreements.
  1. Fundraising & Communications
  • Support new database migration activities and maintain donor database.
  • Work collaboratively with international teams in Europe and Africa to understand partner projects and goals.
  • Work with the Executive Director to execute FZS’s annual fundraising strategies.
  • Advance donor solicitation and stewardship activities.
  • Monitor all donor and vendor contacts to ensure positive and compliant relations.
  • Ability to analyse revenue trends and make recommendations.
  • A natural positive thinker with the ability to motivate, coach and inspire fundraising strategies for the executive team.
  • Use a variety of analytical tools to gather data, investigate and draw conclusions and recommendations on funding opportunities.
  • Identify and craft fundraising and cultivation strategies for each prospect.
  • Write donor prospect emails for executive team.
  • Participate in planning long – and – short-term development strategies to solicit funds and meet fundraising targets.
  • Write and edit proposals and marketing collateral to support fundraising efforts.
  • Maintain proposal and report calendar.


The position requires a person who is well organized, detail-oriented, and self-motivated. Candidate must also have outstanding interpersonal skills, a professional, courteous manner, and be comfortable interacting with the public. Maturity, poise, initiative and flexibility to work as a team player, collaborative work style essential. Willingness to work beyond working hours for special activities or events. Detailed knowledge of applications such as Word, Excel, PowerPoint, Outlook, Google Suite, and calendar and database programs is essential such as NEON CRM. 

REQUIRED Qualifications

  • 5 or more years of non-profit fundraising, compliance and finance.
  • Bachelor’s Degree required, Master’s preferred.
  • Specific experience working on 501(c)(3) tax reporting and grant reporting.
  • Experience with all aspects of fundraising (identification, strategy, cultivation and stewardship of individuals and foundations).
  • Exceptional communication, organizational, and interpersonal skills.
  • Culturally sensitive to international teams and capabilities.
  • Ability to work with minimal supervision in a fast-paced, highly adaptive environment.
  • Excellent computer skills, including Microsoft Office expertise, donor database and donor research tools, as well as accounting software.

PREFERRED Qualifications

  • Experience in the conservation or environmental sector.
  • Ability to review, interpret and synthesize financial statements and major donor trends.
  • Ability to manage multiple priorities and deadlines in order to achieve desired outcomes on time with minimal supervision.
  • Dependable, tactful, good ethical judgment.
  • Ability to work well both independently and as part of a team.
