Job Description:

As a member of ZOOM’s Program team, the Program Associate is involved in all aspects of ZOOM’s grantmaking. This position has significant data analysis and management responsibilities.

Grantmaking

  • Conduct research and analysis related to grant proposals, potential funding initiatives, or special projects, and present findings to senior staff
  • Conduct due diligence on potential or current grantees
  • Review grant reports, including budgets, workplans and project outcomes as related to goals and institutional capability
  • Track required grantee documentation and compliance, and follow up with grantees as needed, providing technical assistance as appropriate
  • Prepare quarterly and annual reports used by ZOOM Trustees to assess grantee and ZOOM impact
  • Analyze giving portfolio and help prepare annual report for Trustees
  • Prepare external correspondence to grantees regarding status of requests and funding decisions
  • Collect, analyze and report feedback from grantees regarding ZOOM’s grantmaking processes
  • Assist in the preparation of materials for monthly Trustee meetings

Data Management and Operations

  • Maintain accurate and professional records in grantmaking and contact management systems, so that key issues and interactions are easily reviewed and understood
  • Maintain process tools, including dashboards, forms and templates
  • Compile background materials for the Trustees and Executive Director prior to meetings
  • Schedule meetings between ZOOM staff or Trustees and organizations, as needed
  • Coordinate grantee convenings and events, including but not limited to managing invitations, consultant contracts and travel, RSVP list, meeting materials and follow-up feedback surveys
  • Work on special projects, as needed

The successful candidate will be an efficient and resourceful problem solver, who is comfortable managing multiple tasks. Team spirit, curiosity, and a flexible mindset are musts, as are commitment to responsible stewardship, integrity, and discretion. The ideal candidate will love creating and managing data and systems that serve end users and advance the organization’s mission. Additional requirements:

  • Strong ability to quickly process complex information from various data sources and present it clearly and simply

  • Demonstrated ability to take initiative and work autonomously
  • Strong interpersonal skills and the ability to work well with people from diverse communities, with a wide range of training and experience
  • BA/BS degree with history of strong academic performance
  • 2-4 years of professional experience within a dynamic, result-driven setting
  • Proficiency with Microsoft Office (i.e. Word, Excel, Outlook and PowerPoint) and general comfort with technology and software

Benefits:

This is a 40-hour per week position. Work hours are Monday through Friday, generally from 8:30 a.m. to 5:00 p.m. The starting salary range is $60,000 – $70,000, commensurate with experience. The ZOOM Foundation offers excellent benefits, including health and dental insurance, a SIMPLE IRA plan and paid time off. Any offer is subject to a successful background check and drug test.
