Job Description:

The Center for Biological Diversity is currently looking for a full-time executive assistant with extensive experience providing administrative support in a dynamic and fast-paced nonprofit development and membership program.

General Position Overview: The Center seeks an experienced professional to join a dynamic, successful fundraising team while helping to advance the organization's mission. The executive assistant will provide high-level administrative support to the chief development officer and the membership director. The ideal candidate for this position is forward thinking-- able to anticipate and address the priorities of the development program and provide timely and strategic support. 

The position is available for remote work.

Main Duties:

  • Provide administrative support for the organization's major-gifts and planned-giving programs through record keeping and responsive communications;
  • Provide grants administrative support and management of deadlines and documentation;
  • Help foster a collaborative environment and act as a liaison on projects across the development program, with key stakeholders across the organization and beyond; 
  • Record and track deadlines and actions to support the cultivation, solicitation and stewardship of gifts from foundations and major donors;
  • Provide support for year-round stewardship of foundation contacts and major donors including sending donor reports, thank you correspondence and stewardship materials, including media clippings and special reports; 
  • Format and send highly personalized fundraising communications to funders by email, direct mail, etc;
  • Conducts research on a variety of topics and programs as well as prospective and current funders as needed;
  • Maintain accurate, up-to-date individual major donor records;
  • Support arranging travel and itineraries;
  • Manage calendar, plan meetings and reschedule appointments when conflicts arise;
  • Manage expense reports and other types of internal administrative reports; and
  • Assist with other projects in donor relations, major gifts, membership and grants, as assigned.

Essential qualities and skills desired:

  • The ideal candidate will be a quick study, seasoned in handling a wide range of administrative and operational responsibilities and is competent and confident under pressure; 
  • A minimum seven years' experience in similar administrative positions, preferably at a non-profit or in the field of fundraising/development, customer relations, marketing or communications;
  • College degree or commensurate professional experience;
  • Exceptional attention to detail, organizational skills, time management and accuracy in completing complex tasks;
  • Excellent verbal and written communication;
  • Energetic, with good interpersonal skills;
  • Ability to retain high level of confidentiality and exhibits good judgment and discretion;
  • Expert knowledge of the Microsoft Office suite, spreadsheets, mail merge functions; familiarity with virtual meeting tools like Zoom or Microsoft Teams preferred;
  • Experience with donor CRM and grants tracking databases and moves management concepts required (experience Revolution Online a plus);
  • Experience with email marketing programs required (Microsoft GroupMail software a plus);
  • Sense of humor and positive attitude, with a passion for, and knowledge of, the natural world, biodiversity, and the environmental movement. ​
