The Animals Program is centered on animal welfare, and the Environment Program focuses on habitat conservation and restoration, pollinators, and the protection of wildlife.

Job Title: Grants Manager

The Carroll Petrie Foundation is seeking an exceptionally organized, detail-oriented, motivated, and collaborative individual to join the Foundation as Grants Manager.
Job Summary
The Grants Manager will be responsible for all grants management functions and daily grant activities, working in close collaboration with program and finance staff through the full lifecycle of all grants. Additionally, the Grants Manager will provide ongoing support to the Controller for investment-related document management and annual audit and tax returns. The Grants Manager will also play a critical role in refining the Foundation’s overall administrative process to ensure effective and efficient operations, including maintaining the Foundation’s files and serving as the Foundation’s lead grantmaking and operational support staff member.
Key Responsibilities
Manage the administrative grantmaking process for the lifecycle of every grant; develop and manage workflow processes for all types of Foundation grants
Administer Foundation’s grants management database (GivingData); master and manage database to meet requirements and assure data integrity
Develop, maintain, and ensure proper grants management systems are in place and consistently followed
Serve as Foundation representative to PEAK Grantmaking
Stay up-to-date on latest developments and ensure ongoing best practices for Foundation’s grant database
Participate in ongoing efforts to improve and streamline the Foundation’s grantmaking policies, workflows, and procedures
Maintain corporate, administrative, financial, investment, and grant-related files
Provide operational support to the Controller; assist with investment document processes, including subscription agreements
Provide documentation for grant-related transactions for annual audit and tax returns
Assist with annual audit-related preparation and correspondence
Assist in the preparation and assembly of board materials, including report creation
Other duties as requested
Qualifications:
Five or more years of related work experience
Superior organizational skills with proven ability to build and manage administrative systems
Excellent time management and demonstrated ability to handle multiple deadlines and priorities while maintaining accuracy and attention to detail
Highly motivated, with a proactive work ethic and a strong focus on customer service internally and externally
Desire to work as part of a small team in a highly collaborative environment; a committed team player with a willingness to help where needed
Proficiency in MS Office (Word, Excel); the ability to learn new applications quickly
Discrete, with a demonstrated ability to handle sensitive information effectively and confidentially; a strong willingness to protect the privacy of the directors and family members
A positive attitude
Preference may be given to applicants with prior paralegal experience
