Creating an Adaptive Plan: Post-Program Resources

Thank you for continuing to invest in this process and your organization’s adaptive plan!

Introduction

In your final Team Summit conversation, you discussed how the team would monitor progress on your plan every four to eight weeks and formally update the plan every six months.

To support you in your future conversations, Bridgespan has developed three additional videos and sample meeting agendas that you can adapt to your situation. Provided meeting resources include:

Check-in on Progress

The purpose of this meeting is to periodically check-in on progress every four to eight weeks after program completion.

Sample agenda for check-in on progress (60 mins) 

Get situated (5 mins): Ensure everyone has access to up-to-date plan materials, including:

  • Team Workbook links (norms, Priority on a Page, Next Steps)
  • Additional workplan or dashboard materials you are using to integrate the work into your organization’s day-to-day

Touch base on elevated priorities (40 mins): For each elevated priority, ask:

  • How is the work progressing? What positive or negative signals are we observing?
  • How should we address any hurdles to move forward?
  • Then, capture updates in your Priority on a Page or in Next Steps.

Touch base on Next Steps (15 mins):

  • What remains to be completed? By whom and when?  

Six-Month Update, Part 1

The purpose of this meeting is for teams to refresh their plans after six months. This assumes the team will make updates over the course of two meetings with individual or small group work between them.

Sample agenda for six-month update, Part 1 (90 mins)

Get situated (10 mins): Ensure everyone has access to up-to-date plan materials, including:

  • Team Workbook links (destination, priority list). 
  • Agree on who will capture notes from the discussion.

Reflect on destination (45 mins):

  • First, consider your impact goals. Does your destination still capture the change you want to make in the world? Are any elements of your work growing or shrinking and should be captured differently?
  • Second, consider your organization goals. Does your destination still capture the organizational infrastructure you need to have in place to achieve your impact goals? Are any investments becoming more or less necessary?
  • After discussing these questions, agree on who will make updates to your destination statement.

Reflect on priorities list (35 mins):

  • Is this list of priorities still correct? Are any priorities now mostly complete or less critical?
  • Are there any new or complex issues that you should be planning for and discussing together?

After discussing these questions, determine which priorities you want to continue to plan for and monitor. Assign those priorities to group members, make sure everyone has access to a blank Priority on a Page template (located in the appendix of your Team Workbook), and set a date for your next meeting to review their Priority on a Page drafts.


Six-month update, Part 2

The purpose of this meeting is for teams to refresh their plans after six months.

Sample agenda for six-month update, Part 2 (60 mins)

Review materials (15 mins): Individually review your teammates’ Priority on a Page drafts. Feel free to write your comments or questions as you review.

Discuss priorities (45 mins): For each priority, take turns discussing each new or updated priority.

  • Each priority’s lead should share their biggest open questions or concerns and areas where they would like input.
  • All team members should raise questions or make suggestions to help create a more effective plan.
  • The priority lead should suggest next steps to integrate the priority within the work of the organization (e.g., communications, workplanning) 

Once you have reviewed each of the priorities, confirm the timing of your next meeting to monitor progress over the next six months and be sure to capture additional tasks in the “Next Steps” page of your Workbook.
